❓How can Internal Communication professionals help encourage the exploration of AI, while keeping colleagues and organisations safe?

Educate yourself first—be curious and experiment both internally and outside of work. Collaborate with the key teams involved in AI.

Once you have policies, guidance, FAQs and a communication and engagement plan in place, you have the key messages—it’s about repetition, repetition, repetition, and role modelling.

Ensure all communications are connected to your vision, purpose, strategy, values, priorities, and code of conduct. AI is a new tool, but you should use the tried and tested methods associated with introducing anything new linked to effective change communication approaches.

Here’s another good list I developed using ChatGPT:

  • Educate & inform: Start by demystifying AI for employees at all levels. Create accessible, engaging content that explains what AI is, how it works, and its potential benefits and risks to you, the business, and your customers. Communicators can be seen as trusted advisors in AI usage—as long as you’re using it and talking about your use. Understanding AI can reduce fear and build a foundation for responsible exploration.

  • Promote a culture of ethical AI use: Embed ethical considerations into the fabric of your AI initiatives. Encourage discussions around the ethical implications of AI, including bias, privacy, and transparency. Highlighting these issues early and often will foster a culture of responsibility, trust, and empowerment.

  • Encourage open dialogue: Facilitate safe forums, workshops, and Town Halls where employees can express concerns, ask questions, and share ideas about AI. Open and safe dialogue helps identify potential risks or ethical concerns early and provides valuable insight to the business to help the leaders answer them.

  • Highlight success stories: Share personalised (relevant and relatable) internal and external people-centred case studies of successful, responsible AI implementations and lessons learned. Showcasing how the business uses AI safely and effectively can inspire confidence, interest, curiosity, and innovation.

  • Develop clear guidelines & policies: Work with your senior leaders, legal, IT, HR, operations, and data teams to establish clear AI usage policies that include data handling, privacy, and security protocols. Accessible, clear guidelines will help ensure everyone is on the same page and knows how to proceed safely.

  • Support transparency: Advocate for transparency in AI projects. This includes clear communication about AI decisions, the data used, and the measures in place to ensure fairness and accuracy. Highlighting how transparent the business is through shared stories to help build trust, accountability, and positive role-modelled behaviours.

  • Encourage collaboration: Promote cross-departmental collaboration to ensure that AI initiatives are well-rounded and consider diverse perspectives. This can help identify potential risks and ethical considerations from different angles.

  • Stay informed on the latest AI news from across the field and regulations: Keep abreast and share relevant and related updates on the latest AI industry news and developments, regulations, and guidelines. This ensures your organisation remains in the know, compliant, and able to adjust to new legal requirements proactively.

  • Promote continuous learning: Encourage employees to engage in continuous learning opportunities related to AI, from online courses, workshops, and webinars. Staying sharp helps improve behaviours and supports retention by upskilling your workforce.

What AI resources would you recommend for internal communicators?

It’s a brave new world; we’re all on the first rung.

My only tips are to read, watch, listen, attend, debate, have a view, experiment and use different tools, be curious, join in, disagree, agree, and attend conferences and events.

Most of all, learn as much as possible. Follow all your internal communication favourites—individuals, consultants, freelancers, comms tool companies, agencies, comms professional associations, and forums—on LinkedIn at a minimum, and subscribe to podcasts and blogs that resonate with you.
